Planning Process

A Wonderful Wedding Happens by Design

     Selecting the best entertainment for your once-in-a-lifetime celebration can be an overwhelming task so we thought it would be helpful to provide some insight to the “stress-free” HeartLight wedding planning process.

     We summarized it with a six step process and listed it below for you to see.

Step 1: Upon contacting HeartLight via phone (714) 594-9351 or by the Contact page on this site, we will set up a face to face event consultation.  The entertainment consultation can last anywhere from 45 mins to 2 hours depending on the discussion points and conversation.  The initial consultation is a great way for you to meet with your potential MC and Entertainment Coordinator.  This is an opportunity to share your vision, and to learn about the many entertainment enhancement options available to you.  Additionally, the initial consultation is a great way to learn about our passion, our talent, our ability and how HeartLight will design our services around your style, taste, and budget.  (For out of state or non local couples, we can do a Skype virtual consultation as well).

Note: If you are not ready to sign a contract on the spot, you will have up to 2 weeks to decide if you’d like to book HeartLight Entertainment for your wedding.

Step 2: Decision time.  At the end of the two week holding period, a decision will be required.  To secure your date, a signed contract and a 25% retainer/deposit is required.  All major credit cards are accepted and we offer interest-free financing.  Contracts will be mailed or emailed to you along with access to our online planning system.

Step 3: Planning phase. During the planning phase, couples are encouraged to take advantage of the online planning tools.  There you can view or make changes to your itinerary, and create a music play list.  You will be contacted by your Entertainment Coordinator to address any questions or ideas you may have.

Step 4: Event review. Approximately one month before the celebration, it is time for the final event review.  At this face-to-face meeting, your MC and Entertainment Coordinator will meet with you to go over all of the details regarding the celebration.  Timeline Information, Music selections, and Entertainment Enhancement finalizations will all be addressed at this time.

Step 5: Finalization. Expect a call or email the week of the celebration to ensure all details have remained the same.

Step 6: Game day. By this point of the process, you should feel relieved and excited.  All of the planning has been completed and the HeartLight team will ensure each and every request or requirement is materialized at your celebration to perfection.  Now it is time to enjoy the wedding celebration, and be a guest at your own event, knowing HeartLight has you covered for all entertainment items.
